Scope of this policy

This policy applies to personal information submitted through The MindShiift website, including program applications and general enquiries. It also explains how external services linked from the website may handle information.

In this policy, “The MindShiift”, “we”, “us” and “our” refer to The MindShiift and the team responsible for reviewing website enquiries and applications.

02

Information we collect

We collect information that you choose to provide. Depending on the form or pathway you use, this may include:

  • Your name, email address, phone or WhatsApp number, city and country.
  • Your profession, role or current life stage.
  • The program, session or mode of delivery you wish to explore.
  • Your preferred time for a discovery conversation.
  • The context, goals, questions or concerns you describe in an application or enquiry.
  • How you heard about The MindShiift.
  • Your consent to review the information and contact you.

Our hosting and security systems may also process basic technical information such as request time, device or browser information, IP address and error or security logs where necessary to operate and protect the website.

Please share thoughtfully

Do not upload or submit diagnostic reports, prescriptions, banking details, government identification numbers or other highly sensitive documents through public website forms.

03

How information is used

Information is used only for reasonable website and service-related purposes, including to:

  • Review program suitability and respond to an application.
  • Reply to program, appointment, media, speaking, collaboration or general enquiries.
  • Arrange a discovery conversation or provide requested information.
  • Maintain internal application and enquiry records.
  • Protect the website, prevent spam and investigate misuse.
  • Meet applicable legal, regulatory or record-keeping obligations.

Submitting a form does not create a coaching relationship or guarantee acceptance into a program.

04

Sharing and service providers

We do not sell or rent personal information. Access is limited to The MindShiift team members and service providers who need the information to support the purposes described above.

Information may be processed by website hosting, database, email, security or scheduling providers acting on our behalf. We may also disclose information where reasonably required by law, to protect legal rights or safety, or in connection with a legitimate organisational restructuring.

05

Retention and security

Application and enquiry records are retained only for as long as reasonably necessary to review, respond, maintain appropriate records, resolve concerns and meet applicable obligations. Records that are no longer required may be deleted or de-identified.

We use reasonable administrative and technical safeguards appropriate to the nature of the website. No online transmission or storage method can be guaranteed to be completely secure, so please submit only the information needed for your enquiry.

06

Your choices and rights

Subject to applicable law, you may ask us to:

  • Confirm whether we hold personal information about you.
  • Provide access to, correct or update information you submitted.
  • Delete information that is no longer required.
  • Withdraw consent for future contact or processing based on consent.
  • Address a privacy concern or grievance.

Withdrawing consent does not affect processing already completed lawfully. Some information may need to be retained where required for legal, security or legitimate record-keeping reasons.

The website and its application-led programs are intended primarily for adults. If information about a person under 18 is submitted, a parent or lawful guardian should be involved and may contact us to request appropriate action.

07

External services and links

The website links to external services such as Google Calendar, YouTube, Amazon, the research-journal website and CosmiCode. When you follow an external link, that provider’s own terms and privacy practices apply.

Discovery-call scheduling takes place through Google Calendar. Information entered on that service is handled under Google’s policies in addition to any appointment information subsequently received by The MindShiift.

08

Privacy contact and updates

For access, correction, deletion, consent withdrawal or a privacy grievance, email connect@themindshiift.com. Please describe your request clearly and provide enough information for us to verify and locate the relevant record.

This policy may be updated when the website, services or applicable requirements change. The revised date at the top of the page indicates the latest public version.
